This Privacy Policy explains how Yatis Telematics Pvt. Ltd. ("Yatis Telematics", "Yatis", "we", "us", or "our") collects, uses, stores, and shares information when you use our website at https://www.yatis.io, our telematics platform, our customer portals, and our mobile applications, including the YWF/Yatis mobile workforce app.

If you use a Yatis app or service through your employer, fleet operator, transport company, school, logistics provider, or another customer organization, that organization may also control how your account, assignments, vehicles, and operational data are used within its Yatis account.

Information we collect

Depending on the product or service you use, we may collect the following data:

  • Account and contact information, such as name, mobile number, email address, company name, role, preferred language, and support messages.
  • Authentication information, such as OTP verification events, password login requests, password reset requests, access tokens, refresh tokens, and login status.
  • Device and app information, such as Android device identifier, IP address, app version, device status, notification permission status, network status, and troubleshooting information.
  • Assignment and workforce information, such as assignment ID, route name, route code, assignment status, service date, vehicle label, start and end windows, notes, and completion status.
  • Location and movement information, such as precise or approximate location, latitude, longitude, timestamp, accuracy, speed, heading, route progress, and location history while tracking is active.
  • Operational events, such as route start, route completion, driver logout, driver relogin, app returning to foreground, network restored, airplane mode detected, location permission revoked, notification permission revoked, and related event metadata.
  • Vehicle and telematics data, such as GPS location, speed, acceleration, vibration, G-forces, diagnostic trouble codes, VIN number, route history, and related vehicle or device telemetry when a Yatis hardware device or integrated system is used.
  • Website and marketing information, such as pages visited, contact form submissions, browser/device details, cookies, analytics identifiers, and campaign or referral information.

Mobile workforce app location use

The YWF/Yatis mobile workforce app uses location as a core feature for workforce assignment tracking, dispatch visibility, route progress, proof of service, incident investigation, customer support, and operational safety.

During normal workflow, the app asks for foreground location and notification permission before an assignment can be started. When a driver or authorized user starts an assignment, the app may collect and send location updates while the assignment is active, including when the app is minimized or the phone screen is off. A persistent tracking notification is shown while the foreground location service is running.

The app also declares background location permission. Background location is used only when enabled by the user and required for the configured workforce tracking workflow, such as allowing dispatch to continue assignment tracking when the app is closed or not visible. Location tracking stops when the assignment is completed, the user logs out, tracking is stopped, or required permissions are removed.

We do not use mobile workforce location data for advertising, and we do not sell precise location data.

How we use information

We use collected information to:

  • Provide login, OTP, password reset, session management, and account security.
  • Show assignments, routes, vehicles, service windows, and operational status to authorized users.
  • Track active workforce assignments and provide dispatch, route, and completion visibility.
  • Queue and retry location or event updates when network connectivity is unavailable.
  • Generate dashboards, reports, alerts, route history, driver activity records, and service records.
  • Maintain, debug, secure, and improve our website, apps, APIs, devices, and services.
  • Send service messages, support responses, security notices, and product or operational updates.
  • Comply with legal, contractual, safety, audit, and regulatory obligations.

How information is shared

We may share information only as needed to provide and operate our services:

  • With the customer organization that manages your account, such as your employer, dispatcher, fleet operator, school, logistics provider, or transport company.
  • With authorized administrators, dispatchers, supervisors, and support users configured within that customer organization.
  • With service providers that help us host, store, secure, transmit, analyze, support, or operate the service, including cloud infrastructure, SMS/OTP delivery, maps, analytics, monitoring, and customer support providers.
  • With integration partners selected by the customer organization, where the customer has enabled an integration or requested data export.
  • With law enforcement, regulators, courts, or other parties when required by law or when necessary to protect rights, safety, security, or service integrity.
  • In connection with a business transfer, merger, acquisition, financing, restructuring, or sale of assets, subject to appropriate confidentiality protections.

We do not sell personal information. We do not share mobile workforce app location data with third parties for advertising purposes.

Data storage and security

Yatis Telematics stores data using secure cloud infrastructure and applies reasonable administrative, technical, and organizational safeguards designed to protect personal and sensitive data. These safeguards include access controls, authenticated API access, encrypted network transmission where supported, operational monitoring, and restricted access for support and maintenance.

No method of transmission or storage is completely secure. If we become aware of a security issue that materially affects your data, we will take appropriate steps consistent with applicable law and our customer commitments.

Retention and deletion

We retain personal, vehicle, assignment, location, and operational data for as long as needed to provide the services, support customer operations, maintain security, resolve disputes, comply with legal or regulatory obligations, and meet contractual requirements. Retention periods may vary by customer configuration, product, data type, and applicable law.

If you use our services through a customer organization, deletion or export requests may need to be handled through that organization because it controls the operational account and assignment records. You may also contact us using the details below, and we will direct or process your request as appropriate.

Your choices and controls

  • You can grant or revoke app permissions, including location and notifications, through Android system settings.
  • You can stop workforce tracking by completing the assignment, logging out, or using available app controls.
  • If location permission is revoked, core assignment tracking features may stop working or become unavailable.
  • You can request access, correction, export, or deletion of personal information by contacting your organization administrator or Yatis support.
  • You can disable or manage website cookies through your browser settings, though some site functionality may be affected.

Children

Our mobile workforce apps and telematics services are intended for business, transport, fleet, workforce, and institutional use. They are not directed to children for personal consumer use. If a service is deployed by a school, transport operator, or other organization, that organization is responsible for ensuring that its use of the service complies with applicable child safety, consent, and privacy requirements.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our products, services, legal requirements, or data practices. The updated policy will be posted on this page with a revised "Last updated" date.
